Minutes of Meeting

As on 8rd September 2009

The meeting on 8^th September started at 12 pm. The meeting started with attendance, as always. Then the agenda was discussed. The agenda for the meeting was PRATIBHA. The meeting aimed at informing each member about the upcoming event PRATIBHA, with full details. Chetan Sharma addressed the meeting. He informed everyone about the difference in Pratibha this year from last year. Such as this year a fashion show of underprivileged will be held where they will be given designer clothes to walk on the ramp and also to take those clothes with them to their homes. Pratibha will have dance, painting and art & craft from the slum kids. Other issues discussed were ticket selling and getting sponsorships.

Then every member was told about their duties & responsibilities and the date by which they have to complete their work. Fashion show will be lead by Sapna Choudhary and Akhil , Sen & Chandra will volunteer it. The rehearsals will begin from 1^st Oct to 12^th October. Dance will be lead by Jagroop singh. Tarun & Shamael will volunteer it. By 15^th Sep a choreographer has to be fixed and the selection of kids dancing should be done. The dance rehearsals will be from 12^th Oct to 10^th Nov. Painting section will be lead by Chetan Sharma and Sampada Manbtri & Dubey will volunteer it. This will be from 1^st Oct to 10^th Oct. Art & Cratft will be lead by Abhinav Lal & Archana & Mayank will help him. Photography will be taken care by Neeraj Sauda (still) & Yogesh Joshi (video) as for keeping a track of making of Pratibha. Ticket Selling will be lead by Souvik Sur from 8^th Sep to 31^st Oct. Every members will have to sell minimum ten tickets on their own. Sponsorship will be taken care by Souvik, Amit, Chetan & Jagroop.

Invitation to Guests will be done by Souvik Sur from 1^st Sep to 2^nd Nov. Promotion in School and colleges will be done by Shamael and Abhinav from 1^st Oct to 7^th Oct., which involves taking appointment from the Principals, then meeting (8^th Oct to 22^nd Oct) them and finally distribution of passes (10^th Nov to 20^th Nov) to the school children and college students and putting up of posters in these colleges and schools. Promotion in GIP and Sector 18 market will be done from 10^th Nov to 20^th Nov. Hoardings will be put at five places. Other promotional activities involve banner (by shubham) and cable TV Ad. Notification by emails to guest will be done by Jagroop and Chetan and Media promotion by Chahek.

Then the discussion went to “Pratibha on web” where updating on daily basis will be done by Neraj (photographs), Abhinav (video) & Shamael (text) from 1^st Oct onwards. Then Promotion involves – micro blogging (Shamael), video promotion (Yogesh), managing News Letter (Chetan Sharma), blog management (Sampada & Shamael) Registrations at event sites ( Abhinav Lal) etc

Then the budget was discussed which was 2 lakh 19 thousand and 500 Rs.

Then the members were told to bring the list of their guests whom they will invite for the event, in the next meeting, without which they will not be allowed to sit. The meeting ended with queries from members which was answered by Souvik Sur.
